A special session is a group of 6 papers, organized at the initiative of a special session organizer. Session topics must be in areas consistent with the conference theme and topics.

All papers at IEEE ICIT 2009, including papers solicited for special sessions, undergo the same rigorous reviewing process by anonymous and independent reviewers.

Each potential session organizer has to submit his/her Special Session proposal by 30 June 2008. In doing so do the following tasks at least one month before the submission deadline:

  • Provide the special session proposal to newEmail ("JoseM.Martinez", "uam.es", "Jose M. Martinez") the special sessions Co-chairs Luis Gomes or Maria Valla.  The proposal must include:

    • Title of the Special Sessions
    • Rationale of the need and objective of the session
    • Session outline
    • Specific topics of interest
    • Contact information for the Special Session chair(s)
    • Short biography of the Special Session chair(s)
    • List of contributed papers, including title, abstract and author names, affiliations and contact information (if available at the time of submitting the proposals)

       

  • Send them a “Call for papers” dedicated to this special session (one pdf sheet as the one provided: SS-example)
  • Invite the potential authors to submit papers.
  • Prepare a list of potential reviewers (3 per paper) to facilitate the review process

When accepted, your special session will be given a code for paper submission. This code will be automatically provided to the special session organizer. The review process of any special session will be led by the special session co-chairs and the area track co-chairs. Acceptance will be known by 30 June (two weeks after the special session deadline).

After acceptance, the session organizer will undertake to:

  • Attend the conference
  • Chair the proposed special session (bringing her/his laptop as all the session chairs)
  • Provide the name of a co-chair (useful in case of she/he has a paper in the session)
  • Actively participate in the review process

If the number of selected papers for a special session turned to be less than 6, the special session will be cancelled and the accepted papers will be presented within the main technical tracks of the conference.

Note: Each organizer(s) of a conducted special session will receive one 50% discount for one full registration fee.

Reminder:
Session organizers are in charge of finding a minimum of 3 reviewers per paper and handling the review process (deadline for acceptance notification: 15 October 2008).

All the papers of a special session have to be reviewed and scored. The final acceptance of any special session depends clearly on the final review results and will be done under the responsibility of the technical program co-chairs and the special session co-chairs.
